As an apprentice Information Manager, you will work closely with clients and consultants delivering projects through all stages of the construction lifecycle.
Your responsibilities will include, but are not limited to:
Ensures information is managed in accordance with Mace procedures and the procedures for the system in use
Manages the onboarding of Mace staff and external parties to the project system.
System management, ensures all new documents arriving on the system are quality checked as per standard procedures.
System management, creates, manages and updates distribution groups to ensure information flows to the correct organisations.
Maintains the project work package matrix and assign documents accordingly
Processes in app reports as required by the project team
Administers user access and permissions for the project system
Ensures key processes such as the Request For Information (RFI) process are working in accordance with the procedures
Works collaboratively towards the common goal of net zero carbon transition, and share responsibility for the proactive identification and management of the associated carbon emissions and reductions during the delivery of work
Your work base will be flexible and could be in one of Mace offices or at a client’s office or facility. Roles and Responsibilities:
Planning and scheduling:
Coordinate planning of weekly schedules with Programme Manager for staffing and cofarmer participation
Manage the weekly attendance register and keeping coherent, consistent records of attendance and absence across all sites
Coordinate communications of regular processes and events (quarterly trustee meetings, social events, co-farmer reviews) with appropriate staff/participants
Communicate planned changes to programmes, (service shut downs, outreach visits etc) with co-farmers, families and support teams
Manage the Farm:
Ability calendar and weekly schedules to keep the team up to date (cofarmer sessions at our various locations; taster sessions for co-farmers and volunteers, staff absences, occupational therapy student placements, training, meetings and events)
Programme documentation and compliance:
Support lead staff to embed new CRM data management system to keep records secure by providing data input to transfer records and systems to new set up
Maintain and update new systems or protocols for recording/storing information as needed, ensuring GDPR compliance together with CEO and other staff
Process DBS checks for volunteers and new staff members
Programme resources:
Maintain and order supplies to resource the programme (kitchen consumables, office stationery, cleaning supplies, outdoor tools and equipment, First Aid provisions)
Maintain inventory of IT supplies and support with issuing tech to new starters, replacement of old devices
Liaise with IT support team to resolve issues as and when necessary
Management team support:
Provide administrative and organisational support to the Farm
Ability management team, including Board of Trustees if required
Provide support for comms, marketing and event organisation
Take minutes at regular Team Meetings as required

Deal with phone call and email general enquiries, either responding to these or forwarding them to an appropriate member of the team

To organise meetings, manage diaries and provide administrative support to the programmes office (such as minute-taking and following-up actions) as and when required
To support the Heritage Programmes in the management of documentation and records relating to BFI National Archive projects and aid in the embedding of good records management. Ensuring confidential material is handled in compliance with the BFI’s procedures
To support project teams in the gathering and reporting of key tracking data and other project information
To support the maintenance of financial records, including tracking budget requests for travel and training/conferences etc.
To attend internal cross-departmental meetings and external meetings as necessary
Provide diary and logistical support to the project teams for outreach, engagement and marketing activities
Work collaboratively and collegiately across the Heritage Programmes team and BFI National Archive

Manage school lunches, including setting up dinner registers, chasing payments, processing Free School Meals applications, logging changes into relevant systems and inform parents of changes.
Execute administrative tasks promptly and accurately, adhere to administrative procedures and processes.
Assist the senior leadership team with administrative tasks, such as photocopying and printing.
Adhere to safeguarding policies and procedures, maintaining confidentiality and professionalism at all times.
Reception:
Provide effective reception support, greeting visitors and communicating with courtesy and clarity to all stakeholders.
Manage general telephone and in-person enquiries with professionalism, directing these to the appropriate staff members.
Training:
Your Trainer will meet with you in the workplace or online every 2-4 weeks.
In between these meetings, you will have dedicated time away from your job to work on the apprenticeship and collate evidence for your apprenticeship e-portfolio with ongoing support from your Manager and Trainer.
Attend reviews with your employer and apprenticeship Trainer every 10 weeks to review your progress on the Level 3 programme.
The typical duration of the apprenticeship is 21 months, however, can be longer or shorter depending on existing knowledge, skills and experience.
You may also be required to complete maths and English Functional Skills (this will be determined by your existing qualifications).
Training Outcome:
Possibility of progressing to a higher-level apprenticeship or full-time employment within this sector.
This apprenticeship will teach you highly transferable knowledge, skills and behaviours which can be applied across all sectors.
