Ensures that all allocated administrative, finance and clerical records and systems are maintained accurately and kept up to date.

Ensures that all allocated regular or scheduled administrative task are performed on time.
Accepts direction and support from the current administrators or wider team members.
Provides a professional, warm friendly welcome for visitors both face to face and on the phone.
Dealing with requests in an efficient and professional manner, ensuring all visitors sign in and given accurate information.
Ensures that the training room is set up with adequate and well kept resources and that each session has adequate refreshments for delegates.
Prepares the training room ready for training events and ensure all cleared at the end of the day.
Maintains English Hub data as requested by the English Hub Lead.
Attends strategy meetings to support the next steps with the English Hub team.
Attends events relating to the English Hub where directed.
Responds efficiently and professionally to emails.
Prints and prepare packs for training as and when required.
Resource Management
Maintains stock and office supplies, seeking budgetary approval as necessary for less-routine orders.
Orders and receives deliveries.
Supports the arrival and set up of the lunches where required.
Assists with raising, checking and processing orders, deliveries, good receipts and invoices.
Uses online booking systems to manage bookings for Events, liaising directly with schools where appropriate.
Supports the team with the Marketing and Social Media posts in relation to the business.
People Leadership and Development
Supports the wider team including the Teaching school as a whole, noticing where support is needed by using initiative.
Takes responsibility for own personal development, sharing where further support is needed.
Promote the values of the organisation.
Supports a positive culture throughout the organisation and adopts behaviours that exemplify the Trust’s culture.

Influencing and Managing Relationships
Provides clerical support to the English Hub Leaders, Director of Teaching School Hub and the English Hub administrators.
Demonstrates flexibility and be able to prioritise workload.
Liaises with Finance and Operations team with regards to day to day issues and reports any risks.
Demonstrates a willingness to be part of a team.

The correspondence and documentation that is produced within our office, all contributes to a client’s overall experience and impression of the company. Our high-quality ethos isn’t just reserved to our on-site installation work, we are committed to a high level of professionalism throughout the business.
There are times when the office is extremely busy with multiple requests coming in and short deadlines, so you will need to be able to prioritise your workload at these times.
On the other side of that, there are periods when the office is also very quiet. We are looking for someone who can use initiative to stay useful and identify possible tasks to complete, even when all the normal day to day tasks are done.
Experience of Microsoft Office software as a minimum (primarily Excel and Word)

Placing order with suppliers for sites around the UK, arranging deliveries and collections of hired equipment and creating the associated purchase order documents
Setting up enquiry and contract files (hard copy and electronic) and general filing dues
Keeping the job book schedules, contract trackers and enquiry status sheets up to date
Finding and booking accommodation for employees
Updating internal employee health and safety CV’s and the training matrix records
Assisting Directors with project pricing, including data entry of conveyor components, filling in timesheets and reports with the weekly hours from each site
Typing up customer feedback and procedural non-conformance forms
Assist in gathering and creating documenta on as part of the client and governing body quality, health and safety appraisals and audits
Complete case studies about projects already completed
Assist in marketing projects, including PowerPoint presentations and creating more of an online and social media presence

Training:Advertising & Media Executive Level 3 Standard
An advertising and media executive will help with the day-to-day progress of the whole advertising process, from receiving the brief from the marketing team, including objectives, budget and timescales, through to the measurement of how effective the advertisement has been. In their daily work, they will interact with many other people, processes and systems. (For example, the client, 3rd party suppliers, the broad team at the agency.) They help campaigns move forward, coping with inevitable setbacks and changes in direction (some at the last minute), whilst showing collaboration and maintaining relationships with all. Usually, they report to an Account or Media Manager.
They usually specialise in one of two parts of the advertising process: the first is the process of producing the advertisement (creative); the second is the process of distributing the advertisement (media). Apprentices must therefore complete the core apprenticeship and one of these options.

What is the opportunity?
The successful applicants will work in the Nottingham Business Unit, on Glaisdale Drive and will enjoy a programme that exposes them to all aspects of our business. This will include, logistics, office administration, customer service, sales, marketing and inventory. At the same time they will attend NTU on block and day release studying, over a four year period. 20% of the candidate’s time will be spent in formal or informal training
We are taking applications now and the current window will shut on the 8th June. Interviews will take place during early/mid June and will involve two separate interviews, both in Nottingham, one at least will involve a research task and presentation. The successful applicant:
Typically, you will be a person seeking your first role in full time employment. As such we will be more interested in your attitude and desire to pursue this course of action rather than any direct work experience you may have. You do need to meet the Nottingham Trent University entrance criteria
As an individual you will be ambitious to work as part of a busy dedicated team. Although we will ensure you experience other areas of the business, your primary focus will be on customer service and sales. You will be able to demonstrate an ability to communicate and relate to our customers and existing staff and be confident dealing with people of all types, you may have some customer facing work experience, in any case you will be clear yourself that this is the career path you wish to follow
Much of what we sell is electrical product and you will have the ability to research (from our catalogue, online and other sources) and impart technical information about the product
You will have the ability to use our bespoke computer system to accurately process our customer orders, this requires the ability to concentrate on detail, to ensure you avoid costly mistakes, whilst inputting. (Full training given)
You will be a resilient individual who has chosen to take a course of action that will expose you to a demanding and hard-working environment, you will be able to juggle your academic work and your paid work commitments
Training:
A fully funded learning experience delivered in conjunction with Nottingham Trent University, dependant on you working at Stearn Electric
This will be delivered over four years on day and block release, you will spend 20% of your working year in training, both work placed and academic
The training, support and mentoring to allow you to be successful in your employment and your study, delivered over a four-year period. We will be as invested in delivering your Level 6 Chartered Management degree and work experience as you are.
