To provide contract administration support for all live Maintenance contracts including Planned Preventative Maintenance and any additional works. To assist the Contract Manager, Contract Supervisor and Contract Co-ordinator with day to day running of the Contracts.
AREAS OF JOB ACCOUNTABILITY
Primary Role
Operation of bespoke computer added facilities management system JobLogic and bespoke accounts system Cyberqube
Review and approval of Supplier and Subcontractor invoices
Complete weekly timesheet routine
Assist contract co-ordinators with the review of completed daywork tickets and collate information packs for invoicing
Discuss subcontractor/supplier queries and resolve as necessary
Review un-invoiced daywork report and action
Review WIP report and un-invoiced daywork report for the monthly Operations meeting
Secondary Roles
To provide cover or assistance as required for the Contracts Co-ordinators for holidays, sickness and during busy periods for the following (and not limited to) tasks
Respond to BSM Admin email to agreed rota actioning all requests/tasks
Provide helpdesk administration, answering telephone calls and action accordingly
Assist the Contract Manager and Contract Supervisor with weekly Planning/Programming routine to adjust labour and sub-contractors to ensure planned and unplanned workload can be met
Run reports for PPM/Subcontractor visits and issue tickets to technicians
Organise Subcontractor visits, chase completed paperwork and close down completed Subcontractor tickets
Review Overdue PPM and action with Contract Manager and Contracts Supervisor
On a day to day basis; create and issue daywork tickets to technicians, including placement of supplier and subcontractor orders
Daily review returned PPM and daywork tickets and re-issue rejected/part completed tickets. Liaise with the Contract Manager / Supervisor identifying further actions, e.g. purchasing materials/organising subcontractor visits

Aimed at either new entrants wanting to access the Catering Industry or those with some knowledge and experience who want to build their career as a fully trained Gas Engineer.
What will you be doing?
Working towards the Commercial Catering Equipment Technician, Level 3 Apprenticeship
The broad purpose of the occupation is to install, commission, maintain and repair commercial catering equipment, such as combination ovens, fryers, grills and griddles, cooking ranges, dishwashers, microwave ovens etc. Equipment may be gas or electrical and may involve plumbing and electronic controls.
Throughout the duration of the programme, you will be working to acquire the necessary knowledge, skills and qualifications to perform the following duties:
Conduct servicing of commercial catering equipment in line with manufacturers’ specifications and/or legislation
Undertake fault finding and repairs of commercial catering equipment, for example replacing thermostat or pumps; including use of diagnostic equipment
Install and commission a wide range of commercial catering equipment, for example ovens, grills, fryers, dishwashers, water treatment equipment and ancillary equipment e.g., fly killers, water filtration, preparation equipment
Test and undertake quality assurance checks to verify that the commercial catering equipment is working in accordance with its design specification and current regulations including air quality tests
Decommission and remove redundant catering equipment and leave the overall installation in a safe condition
Safely isolate and lock-off of services (gas, water, electricity); for example, cap off gas supplies to prevent possible escape of gas
Plan work schedule and logistics to meet customers’ requirements and priorities, time management
Interpret specifications, drawings and technical information, for example manuals
Conduct or agree risk assessments and apply method statements to maintain safe working environment
Provide information and guidance to end-users on the correct operation and maintenance of commercial catering equipment
Complete documentation (written or digital) associated with the specified job for example, time sheets, maintenance records, written acceptance of work completed, commissioning sheets
Maintain tools, equipment and Personal Protective Equipment (PPE), including ensuring meters (typically Electric Multi Meter, Ohmmeter, Carbon Dioxide/Monoxide Meter, Flue Gas Analyser – this list is not exhaustive) are in calibrated date
Maintain and safely store stock – consumables and spares
Strong communication with the customer
Report on work completed to office/manager

> Processing hire requests, coordinating delivery/collection of hire vehicles.
> Raise purchase orders for hire, damage and repairs
> Maintenance of commercial vehicle database;
Add new hires/remove off-hires from weekly supplier report
Key in details from commercial vehicle logs including driver name and mileages
Ensuring drivers detailed on vehicle logs are duly authorised to drive company vehicles
Liaise with hire company to ensure vehicles are serviced and maintained in accordance with manufacturer intervals
Produce and distribute hire reports for divisional review.
> Upload monthly IRFS Data
> Update motor insurance database (MID) with weekly on/off-hires
> Liaise with hire company to resolve vehicle breakdowns and vehicle replacements to minimise operational disruption.
> Maintenance of approved driver database;
Ensure driver mandates are in date, monitor and action licence changes and endorsements
Process new driver approval, input licence data to online licence check system ensuring driver submits appropriate approval to verify relevant category held for the vehicle type to be driven
Ensuring drivers sign acknowledgement of the driver handbook,
Conduct periodic data cleanse, removing leavers for the approved drivers database.
> Driver Training:
Ensure all employees driving on company business complete online risk assessment
Allocate/monitor completion of additional training modules assigned following speed reports and accident data
> Grey Fleet:
Check all mileage claims to ensure drivers are authorised, have provided correct documentation and the correct rate has been claimed,
Upload mileage data for environmental reporting
Ensure driver have appropriate business cover on motor insurance and vehicle is appropriately maintained by checking online MOT status
Ensure Business Mileage from is update periodically inline with HMRC rates
> Check hire invoices to ensure rates and job numbers reconcile with commercial vehicle database
> Monitor and action MOT and RFT requirements for any owned vehicles
> Tolls, Tunnels and Congestions Charging
Monitor on/off hires for the addition/removal of vehicles on relevant accounts
Ensure all accounts are regularly toped up to avoid PCN’s
