Reporting to the General Manager this role is responsible for;
Supporting Tottenham Hotspur Football Club (THFT) main helpdesk and CleanEvent (CE) management with administrative duties. Working on Event day as main helpdesk administrator for CE.
Key Responsibilities:
Assist in the finalisation of the indicative staff plan and assist in the preparation of staff rosters in the Human Force IT System
Assist the Manager with staff briefings – (preparation of stand-by lists, information sheets etc.)
Assist the manager with staff applications and ensure that appropriate employee checks are done, application forms and other supporting documentation is finalised and forwarded to payroll
Assist the Manager by ensuring that the timesheets are completed by all staff accurately and that all timesheets are correctly entered into the Human Force system database
Assist the manager with the processing of all purchase orders; job dockets are correctly entered into the finance system
Assistance for the provision of adequate uniforms, laundry arrangements and ensure all uniforms are ready for distribution
Arrange display of all site plans, whiteboards, event timetables and any relevant information to assist venue management and staff
Set up the Human Force system for biometric staff clock-in and out processes
Ensure all staff are signed on and issued with the correct uniform
Ensure area supervisors and manager are aware of any staffing issues
Ensure all staff sign off at the end of their shift and return uniforms, radios and keys
Ensure timesheets are completed accurately in the Human Force system and passed on to payroll for processing according to the stated process
Ensure all paperwork relating to hiring staff has been completed and passed to the HR/Payroll Department in a timely manner
Ensure incidents/accidents which occur are reported on the Atlas database
Operating the event day help desk when required, ensuring all information is correct and thoroughly followed through to completion
Answer phones and direct calls/take messages as required
Distribute emails, posts etc. as required
Ensure data entry of purchase orders and job dockets daily
Print event evaluations and staff assessments for distribution to Area supervisors for the close of the event
Undertake client administrative duties similar to those described above

Work closely with clients, attending daily and weekly catch-ups to align on expectations and address any concerns
Participate in Toolbox Talks and team briefings, ensuring key updates and policies are communicated effectively

To provide high quality support for any of the courses within the engineering directorate
To maintain effective and efficient management of the preparatory, store and learning facilities as appropriate under the remit of this position
To prepare laboratories/workshops and equipment for teacher/student use
To maintain laboratories/workshops/equipment, including maintaining stock and identifying suppliers required for new purchasing, and to diagnose and repair faulty equipment as appropriate
To liaise with other technicians/staff as required and to work as a team to support all areas as directed by the Director of Engineering
To undertake general administrative and purchasing duties within the allocated curriculum sector, including the maintenance of inventories
To set up/pre-test apparatus/equipment/experiments/assessments for teachers and be familiar with the appropriate safety procedures and regulations
To be able to handle all resistant materials, electronic, caustic, corrosive, toxic and harmful substances and be familiar with the appropriate safety procedures, as relevant to the curriculum sector
To be responsible for the secure storage of equipment/chemicals which could be dangerous if misused
To prepare solutions/materials to the required degree of accuracy
To be aware of/use/ensure teachers are aware of/use any special safety precautions required in workshops/Laboratories/any specialist rooms in the allocated curriculum area
To supervise work-experience students where necessary
To supervise students where necessary
To undertake such other duties as may be reasonably requested by the line manager, or any senior managers

Training:
Assist with workshop housekeeping and general maintenance
Attend staff training, CPD sessions, and meetings as required
Complete apprenticeship training and assessments in a timely manner
Be fully aware of College policies relating to equality; diversity and inclusion and actively promote positive practice in this respect
Maintain awareness of the requirements of the College Health and Safety policy and to promote positive practice in respect of health and safety rules in the workplace
Safeguard and promote the welfare of children; vulnerable people and learners including:
Motivation to work with children; young people and adult learners
Ability to form and maintain relationships and personal boundaries
Emotional resilience in working with behaviour that could challenge
Appropriate attitudes to use of authority and maintaining discipline
