Sales Operations Administrator
Sales Operations Administrator We are looking for an ambitious Sales Operations Administrator to join a successful and growing manufacturer of classic car parts and automotive components. This is a highly varied position where no two days are the same. You'll be involved in everything from sales administration and customer service to marketing support, systems administration and operational projects. About You You'll be organised, proactive and confident communicating with customers and colleagues alike. You'll ideally have: Experience within a Sales Administrator, Sales Support, Customer Service, Commercial Administration or Business Support role. Excellent communication skills and a professional telephone manner. Strong organisational skills and the ability to manage multiple tasks simultaneously. Good IT skills, including Microsoft Excel, Word and other Microsoft Office applications. A high level of accuracy and attention to detail. Experience of SAP or a similar ERP system would be advantageous, although full training will be provided. A positive, flexible and team-focused approach. A genuine interest in cars, classic vehicles, restoration projects or the automotive aftermarket industry. Enthusiasm for learning about automotive products and supporting a passionate customer base. Key Responsibilities Managing customer backorders and proactively chasing outstanding orders across multiple group companies. Processing and updating customer orders using SAP and online ordering platforms. Coordinating overseas web orders, obtaining shipping quotations and arranging deliveries. Producing and releasing warehouse pick lists to support daily delivery schedules. Maintaining accurate customer information across websites, databases and business systems. Providing professional telephone support and acting as a first point of contact for customers. Handling customer returns administration and supporting aftersales activities. Managing customer invites, communications and data updates across company platforms. Supporting the ongoing maintenance and accuracy of SAP, websites, CRM systems and business applications. Liaising with external IT and software providers to manage and progress support tickets. Uploading price lists and maintaining system data across multiple business entities. Supporting online order fulfilment and liaising with purchasing teams where required. Managing incoming enquiries and ensuring customer requests are handled promptly and professionally. Coordinating factory tours, customer visits and booking schedules. Supporting marketing activity through Mailchimp campaigns and social media administration. Project Coordinator
We are recruiting for an organised and efficient Project Coordinator to join an established team in Banbury on a full time, permanent basis – Monday to Friday. You will play a pivotal role in coordinating project admin tasks throughout the inception, planning and execution of new products coming to market. This role involves working with a multitude of internal and external stakeholders and requires a high level of organisation. You must have excellent communication skills, both written and verbal, and the ability to work with all levels of the organisation. The ability to multitask is a must, as one minute you could be at your desk, the next minute you could be collecting samples from the warehouse. As Project Coordinator, you will be responsible for: Overseeing the implementation of new product implementation Supporting team members during periods of high activity to ensure deadlines are met Requesting, chasing and reporting on samples as required, during the product development process Organising the weekly airfreight shipment and manage the prioritisation of samples as they arrive Liaising with Account Manager/Product Development Manager or Customer to implement Liaising with internal and external stakeholders on any delays to product or photography samples Aiding in packing, re-boxing, and transport of samples to where they need to be in the business for a given time Using the company CRM to manage new product set up including the completion of all administration and accurate, timely in-put of all necessary data, e.g., product specifications, product technical data sheets, quotes, packing and label specs, etc. Creating spec sheets and label specifications for new products, ensuring their accuracy and distribute to far-east suppliers Signing off all new products as complete and correctly setting up on system before first purchase order placed Maintaining all costing schedules and ensuring correct completion of all new product costing sheets from factory quote sheets Filing all factory quote sheets Liaising with other departments on a timely basis and ensuring communication from the dept. is accurate and effective. These are to include marketing, design, trading, technical, far-east teams and customer stakeholders Reviewing and signing off on new stock as it arrives Maintaining ongoing range management data and product queries As Project Coordinator, you must be/have: Experience of working within an admin, coordinator position Experience of working within a product industry is preferred Confident approach to learning Good numeracy & literacy skills Good working knowledge of Microsoft Office 365 (Word, Excel, and Outlook) Excellent communication and interpersonal skills Exceptional organisation skills – time management, ability to prioritise & meet project deadlines Forward thinker, able to identify and minimise problems before they occur Experience of following critical paths and timelines Self-motivated and positive attitude to self-development Full and valid UK driving licence due to some travel to other local sites What’s in it for me?
