Talented project assistant/admin support/secretarial role to support 2 Senior Project Managers and provide additional support throughout the office where required.
A full time role comprising: • proactive management of inboxes and emails, assisting where can/flagging with technical team if urgent response required • preparation of contract certificates (and issuing within the time constraints as detailed within the contract) • audio typing, formatting and issuing of minutes and reports • diary management (although a lot of the Technical Team do this themselves) • arranging regular meetings with clients and contractors • setting up and updating projects • formatting and issuing of weekly site reports • updating accommodation schedules, chasing and compiling handover documentation and preparation of handover forms • logging and monitoring defects and arranging yearly defects inspections • updating individual project and contact details in the practice intranet • keeping electronic project files up to date • preparation of contract documents • preparation of tender documents • building relationships with clients, contractors and other stakeholders General Office duties to be shared with other admin team members • opening and distributing post • reception duties • telephone answering • preparation of meeting room when required • filing/archiving • assisting other support staff as needed and covering absences • assisting with auditing and implementation of QA and Environmental ISO Standards.
