Provision of Reception Service:
Provide a helpful, welcoming, efficient and discrete telephone response to all queries and requests for assistance from patients and other visitors
Advise patients of relevant charges for non-NHS services, accept payment and issue receipts for same
Accept written requests for repeat prescriptions and process such requests in accordance with Practice procedures
Accept samples for dispatch to local laboratory ensuring that they are correctly labelled and are safely and correctly stored until collection/ dispatch
Retrieve and assist in the production of pathology test requests for phlebotomy
Operation of the Practice Telephone System:
Ensure that telephone system is operational at the beginning of each day
Respond promptly to, receive and make telephone calls as required, promoting a positive first impression of the Practice
Handle requests for home visits, noting time received and including all relevant information, where necessary referring to the priority doctor
Divert calls and take messages, ensuring accuracy of detail and prompt appropriate delivery of information received on behalf of a member of clinical or managerial staff
Operation of the Practice Appointment System:
Efficiently operate appointment systems
Process requests for immediate and future appointments from patients by telephone and in person ensuring sufficient information is recorded to retrieve the correct medical record
Admin Tasks:
Alongside telephony reception duties, the post-holder, may be asked to contribute to any of the following:
Perform routine administrative duties as required, e.g. filing, photocopying, ordering and maintaining stationery stocks, opening incoming correspondence and posting Practice correspondence etc.
Produce standard patient letters/emails as per requests from clinical staff
maintaining patients records, undertaking practice audits or complying with its contractual requirements
Training:
The succesful apprentice will be allocated with an assessor who will visit them within the workplace once every 6-8 weeks
In addition, they will attend an online lesson one day per month
Training Outcome:
There is potentially a permanent position available for the succesful applicant, on completion of the apprenticeship

This is a varied and interesting role covering all aspects of Medical Reception and Administration duties using SystmOne, ensuring that the reception area of the practice runs smoothly and provides the highest achievable levels of service to both patients and other members of the practice team including Doctors and Nurses.
Duties to include:
Making appointments and dealing with queries
Prescription requests
Handling incoming and outgoing post
Greeting and directing patients and visitors
Responding to the needs of both Doctors and Nurses during surgery
Health and Safety awareness (including handling samples)
Fire Warden duties
Inputting and extracting information from the practice computer system
Preparing the consulting rooms prior to surgery and tidying the rooms after surgery
Open and close up the building as required
Scanning letters in patients' records
Summarising full patient records on receipt from the health authority
Completing and sending referral letters and proformas
Actioning SystmOne tasks on a daily basis
Handling Medical/Insurance Reports, ensuring all details completed, photocopy records and post
Registering new patients and managing patient deductions and sending of notes via the courier
Training:As part of the recruitment process, the successful applicant will be invited to complete a work trial prior to the start of the apprenticeship.
As part of the apprenticeship, you will learn the knowledge, skills and behaviours which will support you for your end-point assessment. You will take part in a combination of activities, such as face-to-face classroom-based sessions, remote learning sessions, work shadowing and online learning, to support your learning and development and compile a portfolio of evidence.
The successful candidate will be required to undertake training sessions with Avant Skills Academy every other week throughout the length of the apprenticeship. If you have not achieved a GCSE grade 4 (C) in English and maths, you will be required to complete Functional Skills Level 2 in English and maths.
Off-the-job-training:
Apprenticeships are about upskilling and reaching occupational competency takes time. Many employers and apprentices have praised the positive effect off-the-job training have on their productivity and apprentices feel valued by the significant investment in their training.
All off-the-job training must be relevant to the Apprenticeship Standard being undertaken. Your off-the-job training will be agreed upon with your employer and Avant before you commence your programme.
End-Point Assessment (EPA):
At the end of the on-programme learning, you will be required to undertake an End-Point Assessment (EPA) to demonstrate you have met the occupational standard.
