Facilities Administrator
Job Title: Facilities Administrator Hours: Full time – Monday to Friday Type: Permanent Location: Southwark, SE1 Salary : £26,000To support the whole of the business facilities functions by providing administration and office services, including being the first point of contact for all visitors to the head office.
The key functions of the role are to provide those professional first impression, inductions to the office either for new colleagues or general visitors.
Managing customer expectations and contributing to their overall experience, ensuring that the office environment is one which encourages collaboration and productivity.
Administration tasks, as required by the business to help meet the companies’ objectives and strategies.
Supporting the Health, Safety and Facilities Manager to ensure business continuity recovery planning for the office is implemented, documented, and tested.
Facilities management tasks, including audits, inspections and assistance in the management of responsible assets.
Assist on the operational requirements of office accommodation and ongoing facilities management, including liaison with the buildings management team.Job Role –
Helping the team to deliver a first-class customer experience by allocating and executing tasks logged via the workplace management helpdesk software
Develop and maintain excellent working relationships with internal stakeholders to help ensure excellent levels of customer service
Co-ordinate contractor, supplier and utility visits
Assist with lift line billing and queries
Add & remove new starter/leavers from access control & booking systems
Repairs and maintenance activity - requesting and saving job sheets, following up where required and acting as point of contact for ongoing repairs
Assisting in the day-to-day requirements of Swans group energy and utility contracts
Assisting with the day-to-day purchase order and invoice management activities
Assist with parking space bookings
Assist with the set-up of break out space for meetings & events
Maintaining stationery and catering supplies
Liaising with contractors to book works and ensure the successful completion of
Liaising with external contractor to undertake the collection of confidential waste from all Essex Swan Group offices
Maintain monthly vehicle document records for employees claiming business mileage
Be responsible for obtaining expired vehicle documents for those employees claiming mileage in accordance with the monthly reports received from HR
Assist with undertaking emergency light testing
Candidate Requirements –
Experience of working in an office environment, providing front of house services and administration.
Experience in delivering short presentations or similar to small groups.
Experience in a commitment to delivering a high level of customer service.
A general understanding and experience with Health & Safety regulations at work, relevant to office settings.
Well-disciplined with the ability to work on your own initiative and as part of a team.
Experience of auditing and stock control of office resources and services.
Experience in raising POs, managing invoicing and mail services.
