Service Administrator

We are looking for an additional team member with strong administrative skills who is able to prioritise this busy role.

As the Service Administrator you will be supporting the service department with invoicing, goods in stock, and covering for internal and external service departments when needed.

This role is offered on a full time permanent basis.
Purpose of the role:
To support the Service Department and ensure that all Invoicing is posted within the allocated month to ensure that all charges are captured
Goods In all stock for all depots ensuring that suppliers are paid
SAP stock levels are maintained (Minimum & Maximum levels) to ensure that all parts are in stock
To be a custodian of the brand, acting with passion and pride to make the Service Department successful
Main responsibilities and tasks for the Service Administrator

Ensuring Damages are collated and sent to customers within the SLA timeframe
Proactive in forward planning for all stock ensuring that parts are available for all machines
Excellent communication skills with all Departments.
Cover for internal department on Fridays, holidays & sickness which includes coordinating servicing/repairs all equipment/machines for the internal service team and constantly updating the in-house system
Cover for external department for holidays & sickness which includes logging all breakdowns/service calls
Chasing all estimates and damage notifications
Organise and arrange parts only requests to be sent to site and ensure the customer has been invoiced accordingly
Raising of purchase orders for both internal & external suppliers
Goods In process – raising any defects and discrepancies with the relevant supplier
Raising any warranty claims with the supplier
Raise charge notices for damages and communicating with the customer the documented evidence and raising invoices when required
Invoicing and assisting with any queries should they arise
SAP stock levels are maintained
Asist in coordinating all annual PPM’s – external
Ensuring KPI’s are met
Answer phone calls and reply to emails whilst acting as a brand ambassador

Strong administration experience
