Apprentice Administrative Assistant Level 3

Main Duties

 This is a developmental role.  You will be responsible for gathering and recording evidence for your apprenticeship and attending any lessons, training sessions or assessments arranged by your training provider or Supervisor

Organisation

Undertake reception duties, including answering the telephone and face to face enquiries and assist visitors within signing in and directing them to the appropriate location. Assist with pupil welfare duties, liaising with parents and staff. Assisting with arrangements for visits by the school nurse, photographer etc. and recording on electronic diary as appropriate.

Administration

Provide routine clerical support, e.g. photocopying, filing, emailing and completion of routine forms. Undertake word processing and other IT based tasks. Assist with maintaining manual and computerised records/management information systems as appropriate. Assist with other routine administration tasks, including control of resources.

Responsibilities

To work as part of a team, supporting colleagues to deliver an excellent administrative service. To organise work tasks and duties to meet agreed service standards. Record keeping, filing, data input and retrieval. Dealing with incoming and outgoing mail. Preparing routine correspondence and information packs. Photocopying. Taking telephone messages and dealing with basic telephone enquiries. To use IT applications and Databases effectively to deliver administrative tasks. To communicate effectively with customers and colleagues in relation to work undertaken. To undertake any other duties that are commensurate with the post.

Training Outcome:

Possibility of leading to a permanent position.

Working Hours :
Monday - Friday, 37 hours per week, all year round. Shifts to be confirmed.
