Business Administration Apprentice
To be responsible for undertaking a wide range of administrative duties and providing general support to the practice team.
Duties can include but are not limited to the running of patient searches and requested data, administration of databases, following recall system processes to ensure all patients that require an invite into the practice receive this via phone call, text or letter and processing incoming hospital correspondence.
Primary Responsibilities:
Maintaining and monitoring the practice appointment system Process personal, telephone and e-requests for appointments Answer incoming phone calls, transferring calls or dealing with the callers request appropriately Receive, assist and signpost patients to the correct service/healthcare professional in a courteous, efficient and effective manner. Receive, assist and signpost visitors to the correct person/place in a courteous, efficient and effective mannner Process incoming and outgoing mail Initiating contact with and responding to, requests from patients, team members and external agencies Input/process data as required within the clinical system e.g. referrals, read coding, producing letters, processing registrations etc. Photocopy documentation as required File and store records as required Scanning of correspondence Process requests for information appropriately following the correct procedures Process requests for home visits efficiently and effectively Process medication requests Manage all queries (including administrative queries) as necessary in an efficient manner Carry out system searches as requested Maintain a clean, tidy, effective working area at all times Monitor and maintain the reception area and notice boards Support all clinical staff with general tasks as requested Complete opening and closing procedures for the premises Process incoming and outgoing mail Initiating contact with and responding to, requests from patients, team members and external agencies Input/process data as required within the clinical system e.g., referrals, read coding, producing letters, processing registrations etc. Typing letters, reports and associated documentation as required Process referrals using the electronic referral system (ERS) Monitor and manage the worklist on the ERS Process requests for information i.e. insurance reports, DVLA forms etc. Produce invoices as required Photocopy documentation as required File and store records as required Scanning of correspondence Process requests for information appropriately following the correct procedures Manage all queries (including administrative queries) as necessary in an efficient manner Maintain a clean, tidy, effective working area at all times Support all clinical staff with general tasks as requestedTraining:
Level 3 Business Administrator Apprenticeship Standard The training will be on site with the employer and Bishop Auckland College as and when required for exams There will be visits to the workplace by the assessor every 4-6 weeks
Training Outcome:
On successful completion of the apprenticeship there are likely to be opportunities to progress within the surgery

The doctors work in a partnership caring for over 13500 patients. We currently have 5 Partners, 2 Salaried GPs, 1 Advanced Nurse Practitioner, 3 Nurses and 3 Healthcare Assistants. We also have a dedicated team of administrative staff. We are proud to be a training practice for both GP Registrars and Medical Students from Newcastle University.
Working Hours :
Working hours to be structured between Monday - Friday, 8:00am and 6:30pm.
