Reception and Administration Apprentice

As our new apprentice, you will be the first point of contact for our organisation. Your duties will include offering administrative support across the organisation. You will welcome guests and greet people who visit our centre. You will also coordinate front-desk activities, including distributing correspondence and redirecting phone calls, over-seeing enrolments and attendance, and organisation meet and greet appointments. You will be required to be able to deal with emergencies in a timely and effective manner, while streamlining office operations.

Main Responsibilities:

Dealing with visitors and telephone enquiries, signposting as appropriate To receive and assist visitors, assisting with telephone enquiries, ensuring that messages are forwarded to colleagues To be responsible for the completion of the health & safety register To record incoming and outgoing mail To ensure the reception area and offices remains presentable Day to day administration involved with the smooth running of the organisation Arranging meetings and minute taking To use Microsoft Office Package (Word, Excel, Publisher, PowerPoint, Access and Outlook) Data entry to maintain a database To develop and maintain filing systems as appropriate Enrolment, initial assessment and registration onto project/s of participants To always promote and champion the benefits of the organisation To prepare publicity material and be involved in publicity strategies using design software To undertake basic computer maintenance To undertake and rectify day to day issues within the community centre To manage stock control for the centre To assist with project-based activities To prepare and answer correspondence To take an active part in events organised by Foresight To perform such duties as reasonably correspond to general character of the post and to be commensurate with its level of responsibility To work within the Foresight policies on confidentiality, health and safety, equal opportunities and racial equality at all times

Training:

Business Administrator Level 3.

All delivery for this apprenticeship will take place within your place of work. A dedicated Vocational Trainer will visit on average once every 4 weeks, to establish a personal learning and development plan, outlining a schedule of training activities and business objectives.

You will complete a mixture of on and off the job training, including workshops, face to face training and working towards creating a portfolio of relevant practical evidence. You’ll also be supported by your colleagues at all times and will have a full induction.

You will have a review every 8-12 weeks with your Line Manager and Trainer to discuss your progress.

Working Hours :
Normal working hours are 09.00 - 15.30 Monday to Friday (with 30-minutes for lunch)
