Business Administration Apprentice – Executive Offices

Key duties and responsibilities:

Provide and receive straightforward messages communicating effectively and professionally welcoming and treating everyone (patients, relatives, colleagues and Trust Staff) in a friendly and courteous manner presenting a good image of yourself through your attitude, behaviour and appearance. Plan and organise straightforward and a limited range of tasks to meet daily deadlines ensuring work produced is of the quality and quantity required to meet expected Trust and department standards. Assist in ensuring the working environment is safe and of a professional appearance reporting any problems, repairs/collection of waste as instructed and maintain efficient and effective use of resources. Work effectively and efficiently sharing ideas for improvements to improve service delivery. Work under the supervision of the Personnel Department and Senior Admin Team to ensure smooth running of the department

Tasks to include:

Ensure that Admin correspondence are distributed within the Trust CIP guidelines. Answering the telephones answering queries from external sources. Ensuring phone queries are documented and forwarded to the appropriate team member, including occasional cover of main reception duties. Collect and distribute incoming post appropriately. Collate documents for scanning and deliver to the Medical Records Department. To use the Trust’s database if appropriate to enter data, in line with the Trust’s policies and procedures on data protection. To provide professional service to colleagues and patients via telephone, face to face and email. To assist in monitoring stationery stocks in the department. To learn and develop skills in minute taking for personal development alongside senior team members. To ensure accurate filing and maintenance for staff personnel records across the Division. To facilitate and maintain diary management for senior team. Any other administrative duties suitable for the role.

Training:
Come and join us and be supported to earn as you learn whilst undertaking a nationally recognised qualification  You will study a Business Administrator Level 3 qualification over 24 months You will receive a minimum of 6 hours per week during your work time to complete your ‘Off the Job’ (OTJ) training. This time will be allocated to you to complete either in work or you may study from home (at manager’s discretion) Additional training will be given in the workplace

Training Outcome:
Towards the end of the apprenticeship contract, you will have gained the knowledge and experience to enable you to apply for your next step in employment You will be supported by a dedicated apprenticeship team to do this. We have a high percentage of previous apprentices who have successfully gained further employment with us with opportunities to gain higher qualifications

Working Hours :
Monday to Friday normal office hours, times to be discussed and agreed (i.e. 8.00am to 4.00pm / 8.30am to 4.30pm / 9.00am to 5.00pm).
