Answering telephones - first point of contact when answering calls
Effectively and accurately handling customer service enquiries (e.g. Settlement Figure requests)
Responsible for the appropriate distribution of customer service emails
Maintenance of computerised and manual records (Cleansing customer files to remove unnecessary information, ensuring documents are scanned so we hold a digital copy)
Day-to-day filing / photocopying / scanning
Monitoring stationery stock levels and ordering when appropriate
Production of documentation for signing by customers
Processing of payouts once signed documents received
Liaising with suppliers to request invoices and any amendments
Contacting funders to provide relevant information and ensure payouts are smoothly processed
Loading of new proposals onto deal management system
Checking and processing own book payouts
Learn to use Leasesoft for our own book lending (inputting of deals and in life servicing once live)
Completing relevant searches requested by the sales team / directors required for underwriting (Experian, land registry, valuation)
Actively chase any outstanding original documentation for own book agreements if not received at payout
To attend and / or complete any mandatory training courses stipulated by the Company
To ensure the educational aspects of the apprenticeship are completed in a timely manner
Training:You will be working towards a Level 3 Business Administrator Apprenticeship standard.
You will receive on and off-the-job training and support from an assessor and an Apprenticeship Advisor.
You will be required to attend Cornwall College St Austell on a fortnightly basis as part of the apprenticeship training.Training Outcome:Potential to move to other areas of the business internally, such as collections or sales, as well as progressing into the administration team. Assist with the provision of a high-quality service to tenants, in line with the group’s corporate objectives, current legislation and good practice, by assisting with plastering and internal finishes carried out to a high standard in an efficient, effective, professional, respectful and safe manner.
Throughout course of apprenticeship, undertake studies and assessments to gain and demonstrate skills, knowledge, understanding and behaviours of a competent property maintenance (multi skill) operative, including understanding the mechanism of buildings to include electrical, plumbing, plant, safety systems and equipment.
Ensure excellent levels of customer service, taking all possible steps to accord with their reasonable wishes and taking into account any supportive measures. Where necessary, report requests to the Property Services Supervisor or Manager.
Assist colleagues with effective planning and assessment of allocated jobs and liaise with property services colleagues as necessary for the purpose of assisting with maximising efficiency, safety, providing excellent customer service and minimising non-productive time.
Work collaboratively with colleagues within property services and across the business, developing effective and positive working relationships to assist with the completion of repair, maintenance and compliance work and in order to assist with the maintenance or improvement of the level of service offered to customers.
Undertake work at all times in accordance with safe working practices as laid down in health and safety manuals, method statements, risk assessments and health and safety plans. Seek guidance from the Health and Safety Manager or Health & Safety Advisor and/or Property Services Supervisor or Manager where there are concerns or issues relating to health and safety.
The post-holder will be expected to comply with the company’s policies, procedures and initiatives; in particular, equality, diversity & inclusion, health and safety, complaints and safeguarding.
Be responsible for any vehicle allocated and undertake the appropriate vehicle checks. Keep it in a clean and tidy condition. Reporting any accident or traffic offences immediately to your Manager/Supervisor. To record defects and ensure that they are rectified.
Be responsible for company issued equipment and undertake the appropriate inspections prior to use. To not abuse or misuse the equipment and to use it in accordance with the manufacturer's recommendations. To report defects to the appropriate supervisor/manager promptly and ensure that they are rectified. Ensure security of tools and equipment issued.
Ensure mobile devices are charged and maintained to enable effective lines of communication with colleagues, partners and customers via telephone and emails.
Wear appropriate personal protective equipment appropriate to the task being carried out, including company workwear, ensuring it is reasonably clean and presentable.
Ensure any paperwork including inspection sheets, compliance checks, work sheets, time sheets, vehicle sheets and the appropriate certification and warning notices are correctly completed and signed and returned or submitted promptly to the Property Services Supervisor / Scheduler or Manager as required.
