Level 3 Business Administrator Apprenticeship - Waverley Junior Academy (ACET)

1. Reception

To provide a highly professional first point of contact for the academy To answer all incoming telephone calls in a timely and effective manner, directing calls and or taking messages as appropriate To ensure the safeguarding of children is the highest priority, conducting appropriate checks and ensuring appropriate supervision for visitors, contractors etc. To meet and greet all persons coming into the academy in a professional, polite and friendly manner – this will include parents/carers, pupils, general visitors, delivery personnel, contractors etc., mindful of safety and security of the whole academy community  To ensure visitors are allowed access to the site without delay (notwithstanding safeguarding checks), following all relevant systems, including our required signing in procedures and provision of identification badges, prior to them proceeding further onto the academy site To efficiently and accurately relay information, messages etc. provided by visitors and telephone callers to the relevant person(s) in the academy – this may be achieved by email, telephone, or personal delivery of the information/message to the individual involved To respond appropriately to pupil enquiries as required
• To ensure reception area is welcoming and maintain its general tidiness Provide tea/coffee etc. for visitors as required To ensure reception area is welcoming and maintained to a high standard

2. Administration

The processing of incoming and outgoing general email and postal mail – ensuring both are directed in a timely manner to the relevant person When requested by appropriate staff, to contact parents/carers by letter or telephone to provide information relating to the academy or individual pupils Updating and maintaining academy records which may include registers, pupil databases etc. as
required Providing support for the organisation of meetings as required, e.g., room booking, setup, refreshments etc.  Photocopying, faxing, filing of documentation

3. Finance

To contribute towards the efficient collection, checking, balancing and banking of all monies To assist in efficient purchasing, ordering, receipt and processing of invoices for materials, goods and services for the academy To assist in ordering of goods and services used by the academy in accordance with financial regulations and standing orders To complete relevant documentation in respect of educational 

4. General Duties and Responsibilities

With guidance from the Finance and Administration Officer, undertake the various tasks required in a busy junior academy office To maintain the confidentiality of the working environment Support and maintain a positive working environment between colleagues across the academy and trust Support academy events, such as plays or awards ceremonies, which may on occasion involve working different hours (for which payment will be made) Monitoring of pupils during lunchtime Be aware of and comply with policies and procedures relating to child protection, health, safety and security, confidentiality and data protection, reporting all concerns to an appropriate person in accordance with the policy

The role is based at Waverley Junior Academy however it may involve working at other academy locations within the trust.



Training:
Apprenticeship Standard: Level Business Administrator Apprenticeship Duration: 18 months (plus 3 months EPA) Training Provider: LMP Education (Rate My Apprenticeship Best Training Provider 2024/2025) All training will be done remotely Training schedule tbc

Training Outcome:

Possibility of a full-time position on completion of the apprenticeship.

Working Hours :
Monday to Thursday 8am to 4pm, Friday 8am to 3:30pm.
